Position Summary
Global C2 Integrations Technologies is seeking a dependable and highly organized Administrative Assistant to provide direct administrative and coordination support to program leadership and functional teams supporting an international Command, Control, Communications, and Intelligence (C3i) modernization program.
The Administrative Assistant plays a critical role in ensuring smooth day-to-day program operations by managing schedules, coordinating meetings, preparing documentation packages, supporting travel logistics, and maintaining organized records. This position requires discretion, attention to detail, and the ability to operate in a fast-paced, high-visibility Government contracting environment. This position is contingent upon contract award.
Responsibilities:
- Provide direct administrative support to Program Manager and senior staff
- Manage calendars, schedule meetings, and coordinate conference calls and virtual meetings
- Prepare and distribute meeting agendas, presentation materials, and meeting minutes
- Track action items and follow up with team members to ensure timely completion
- Coordinate domestic and international travel arrangements, including itineraries and documentation support
- Assist with preparation and formatting of reports, briefings, and program documentation
- Maintain organized electronic and hardcopy filing systems
- Support onboarding coordination for new personnel (access paperwork, documentation tracking, etc.)
- Assist with procurement documentation routing and administrative tracking
- Coordinate visitor access requests and site visit logistics
- Support program reviews, design reviews, and Government meetings through logistical coordination
- Maintain confidentiality when handling sensitive program information
Requirements:
- Strong organizational and time-management skills
- Ability to manage multiple priorities in a structured program environment
- Professional communication skills (written and verbal)
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience preparing professional briefing materials and meeting documentation
- Ability to handle sensitive information with discretion
- Strong attention to detail and document accuracy
- Ability to work independently while supporting cross-functional teams
- Familiarity with Government contracting environments preferred
- Experience coordinating travel and meeting logistics
Qualifications:
- High school diploma required; Associate’s or Bachelor’s degree preferred
- 3+ years of administrative experience in a professional office environment
- Experience supporting DoD or Government programs preferred
- U.S. citizenship required
